We are looking to recruit a Scheduling Assistant in our Service Hub User Experience Team.
Our large IT and Digital department supports customers across Surrey County Council while working closely with our Orbis Partners in East Sussex County Council and Brighton and Hove City Council.

The User Experience team is responsible for deploying a high volume of laptops to new members of staff as they join the Surrey County Council family. We are also responsible for supporting customers as they work from home, office and other remote locations; resolving IT Incidents and responding to Service Requests in a professional and timely manner. 
Scheduling Appointment

The Scheduling Assistant will focus on scheduling appointments for new members of staff, typically arranging a laptop deployment for employee’s first day of work. Emails, Service Requests and spreadsheets will need to be monitored, updated with information collected from various sources including the recruiting managers before agreeing a suitable date and time.

You will be working closely with multiple deployment teams as they issue laptops from our main offices across Surrey. This will involve checking stock, availability and communicating any last minute changes to appointments. 

You may be required to follow up non-attendance to deployment sessions and re-booking missed deployment sessions.

Analysing and Reporting

You will be required to analyse and report from various data sources (Service Requests, Spreadsheets and Emails), so previous experience in this field would be helpful in this role.
Surrey County Council Employees have a variety of working styles and different hardware requirements. You will be required to assess each Service Request and confirm the correct device is assigned to each new employee.

Communication

Excellent written and oral communication skills are required. You will have experience of dealing with multiple customers and experience of working under pressure to tight deadlines.
You will be highly organised, willing to take responsibility, use initiative, be comfortable in setting your own priorities and meeting deadlines. You will make sure that everything is in place to guarantee that all runs smoothly for the processes and teams you support.

To be shortlisted for an interview, your application will clearly evidence:

  • Evidence of being well organised and methodical
  • Excellent working knowledge of MS Word, Excel, Outlook / O365
  • Excellent communication skills, both written and verbal
  • Ability to engage and build strong relationships with customers
  • Flexible and able to take on a variety of tasks at short notice
  • Able to work with a diverse range of customers with varying IT skills
